Check guests in from your laptop

No phone, no app: check people in by name from the Sangha tab, or scan with the laptop camera on the web scanner.

You do not need the BrightStar Organizer app, or even a phone, to run the door. Open your event in the BrightStar dashboard and go to the Sangha tab: every ticket holder is listed there with a Check in button, and the list stays in sync with anyone scanning at the same time. If you would rather scan, the BrightStar web scanner works in the laptop's browser with its built-in camera.

Checking someone in by name

From the Sangha tab of your event:

  1. 1Find the guest by name, email or order — the list is searchable and can be filtered to who is still expected.
  2. 2Click **Check in** on their row. The check-in is recorded on that ticket immediately, with the time and that it was done by hand.
  3. 3Made a mistake? Click **Undo** on the row and the ticket goes back to valid, ready to be scanned or checked in again.
  4. 4Checking in a group? Select several rows and use the bulk check-in.

Scanning with the laptop camera

Open the BrightStar scanner in the laptop's browser and allow camera access. It reads the same QR codes the phone scanner reads, applies the same checks — right event, valid ticket, not already used — and shows a reason whenever it refuses one. The scanner's own Guests list can also check people in by name, so a laptop at the door can do both jobs.

Who can use which method

The Sangha tab check-in works for the event's host — the account that owns the event. Teammates and collaborators can open the Sangha tab if their role lets them view the event, but the Check in button will not work for them.

Teammates check guests in with the scanner. Anyone whose role carries the *scan* permission — door staff, coordinators, co-managers — uses the BrightStar web scanner or the BrightStar Organizer app, by camera or from its Guests list. Give a teammate the scan permission from your team settings before the doors open.

A check-in done by name and a check-in done by scanning land on the same ticket. Whichever happens first wins, and a second attempt is refused as already used — so a guest checked in at the laptop cannot be scanned in again at the door.

Common questions

Can I check guests in to my BrightStar event from a laptop without the phone app?

Yes. In the BrightStar dashboard, the event's Sangha tab lists every ticket holder with a Check in button, and the web scanner runs in the laptop's browser using its camera. Neither needs the phone app.

A check-in from the Sangha tab is recorded on the ticket itself, stamped with the time and marked as done by hand, so it shows up wherever that ticket is looked at — the scanner, the guest list and reports — exactly like a scanned check-in.

Why does the Check in button on BrightStar's Sangha tab not work for my teammate?

The Sangha tab check-in is for the event's host, the account that owns the event. Teammates check guests in with the BrightStar web scanner or the Organizer app, which honour the scan permission on their role.

Roles on a BrightStar account carry separate permissions — view, edit, scan, door sales, reports and more. Viewing the event is enough to see the Sangha list; checking people in from it is reserved for the host. Give the teammate the scan permission and point them at the scanner, which can check in by camera or by name.

If I check someone in by mistake on BrightStar, can I undo it?

Yes. On the Sangha tab, click Undo on that row. The ticket returns to valid and can be checked in or scanned again.
