Adding Your Team and Choosing What Each Person Can Do

Invite staff to your BrightStar account once and set what each of them can see and do across your events.

Most people running events are not running them alone. Somebody is at the door with a scanner, somebody is reading reports before the show, somebody handles the money after. BrightStar's team access lets you add each of these people once, at the account level, instead of granting them access to every event separately. You invite someone by their email address, choose what they are allowed to do, and that access follows them across the events on your account, including the ones you create later. Team access is part of every BrightStar plan, Seva included.

Why access lives at the account level

If you run more than one event, granting access one event at a time creates two problems. First, it is repetitive: you would be re-adding the same volunteer or the same box office lead every time you launch something new. Second, it is easy to lose track of who still has access to something that ended months ago, because there is no single place holding the whole picture. Setting access at the account level solves both. The person is added once, and what they can do is defined in one place you can look at and change later. When someone only helps with one production, you can still limit them to chosen events rather than your whole account.

The permissions underneath every role

Every role is a preset over the same short list of permissions. Seven of them apply to your events, and two apply to the account itself. Marketing lets a teammate prepare campaigns and see how they perform, but launching ads, which commits your money, stays with you. View team is read-only: it shows who your events are shared with, without letting anyone change it.

The roles BrightStar offers

Each role is a fixed set of those permissions, and a Custom role lets you tick exactly the ones a person needs when none of the presets fits.

What always stays with the account owner

Some things are never delegated, whatever role a teammate holds. Only you, as the account owner, can invite, change or remove people on your team, so nobody can widen their own access. Teammates never create or delete events; a teammate with Edit events can change the events they have been given, and nothing more. And the money plumbing stays yours alone: launching ads, billing, payouts and your Stripe account are not part of any role.

How to add someone to your team

Adding a person and setting what they can do happens in the same short flow:

  1. 1Open Settings, then Team, in your BrightStar dashboard and invite them by email address.
  2. 2Choose the role that matches what they will be doing, or choose Custom and tick the permissions yourself.
  3. 3Choose whether their access covers your whole account or only the events you select.
  4. 4They receive an invitation, and their access applies as soon as they are signed in to BrightStar with that email address.

How many people you can add

Each account has a number of team seats, set by the highest plan you have used on any of your events: three on Seva, ten on Elevate and twenty-five on Amplify. A guest you have shared a single event with takes a seat too, so the allowance counts people rather than invitations. If you reach your limit, running an event on Elevate or Amplify raises it.

Give people the narrowest role that lets them do their job. A door volunteer rarely needs anything beyond Box Office, and a bookkeeper rarely needs anything beyond Finance. Widening someone's access later, when they have grown into needing it, is a small change. Explaining after the fact why they could see a number, a payout total or a customer's phone number, that had nothing to do with their job is a harder conversation to have.

Why financial figures get their own permission

Reports, Attendee data and Finances are three separate permissions in BrightStar, not one bundle. That separation exists because the people who need one of them often do not need the others. Someone tracking attendance for marketing purposes needs the numbers coming through, not the revenue behind them. Someone at the door checking people in needs to confirm a name against a ticket, not see what that person paid. That is why the Box Office role can check people in and sell at the door but does not see payment breakdowns: financial figures appear only for teammates who hold the Finances permission.

Common questions

How do I add someone to my BrightStar account?

Open Settings, then Team, invite them by email address and choose the role that matches what they will be doing. Their access is tied to that email, so it applies once they are signed in to BrightStar with it. Only the account owner can add, change or remove teammates.

Because access is resolved from the email address rather than from a link, you can add someone before they have a BrightStar account and their permissions are waiting when they create one. This matters when you are onboarding a new hire or a seasonal volunteer ahead of the event they will actually be working.

What is the difference between adding a team member and sharing a single event?

Sharing an event grants one person access to that one event. A team member with account-wide access belongs to your BrightStar account, so their permissions apply across all of your events, including new ones, without you granting access again each time.

Standing staff are usually the account-level case, and a guest helping with one festival is usually the per-event case. Both take a team seat. Choosing correctly up front saves you from either re-inviting the same person repeatedly or handing someone account-wide visibility they only needed for a single weekend.

Can I limit a team member to particular events?

Yes. A BrightStar team member can be given access to your whole account or only to a chosen set of events, so a person brought in for one production does not gain visibility into everything else you run.

This is useful for a stage manager or a sound healer's assistant who is part of your regular circle but only works certain gatherings, not every retreat or kirtan on your calendar. Their role applies on the events you chose and nowhere else.

Can I control who sees my sales and payout figures?

Yes. Finances is a permission of its own in BrightStar, separate from viewing events, reading reports, or seeing attendee contact details. The Box Office role, for example, can check people in and sell at the door without seeing payment breakdowns.

In practice this lets you give a marketing coordinator or door lead the counts and reports they need, while keeping payout totals and revenue figures visible only to the people who handle your finances. Payouts, billing and your Stripe account themselves are never part of any teammate role; they stay with the account owner.

Is team access only available on paid plans?

No. Team access is part of every BrightStar plan. What changes with the plan is the number of seats: three on Seva, ten on Elevate and twenty-five on Amplify, based on the highest plan you have used on any of your events.

Every person with access counts toward the allowance, including a guest you have shared just one event with, so the limit cannot be stretched by inviting the same people one event at a time.
