Entrances let you name each way into your event, such as Main Gate or Premiere Lounge, and see how many guests checked in at each one. They are for organizers whose event has more than one door or checkpoint.
A festival rarely has a single door. When every scanner feeds one combined number, you cannot see which gate is busy and which is quiet. With entrances, each check-in also records the door it happened at.
Where to find it
Dashboard → Gatherings → your event → Sangha → Entrances. The live count for each entrance also appears under the check-in numbers at the top of the Sangha tab, once your event has at least one entrance.
Setting up your entrances
In the Entrances panel on the Sangha tab:
- 1Type a name for the entrance, such as Main Gate, and choose Add entrance. Names must be different from one another within an event.
- 2Use the up and down arrows to put your entrances in the order you want.
- 3Choose Rename to change a name.
- 4Choose Pause to take an entrance off your door devices' list without losing its count. Choose Resume to bring it back.
- 5Choose Remove to delete an entrance. Check-ins already made there keep its name in the history.
Choosing which passes work at which entrance
Under Where each pass is valid, every ticket type is listed with your entrances beside it. Leave a pass with nothing selected and it is valid at every entrance. Select one or more entrances and that pass is valid only there.
If a restricted pass is scanned at another entrance, the scan is refused with a message such as "This pass isn't valid at the Premiere Lounge". The guest is not checked in, and the refusal is recorded. The same rule applies when a guest is checked in by name from the guest list on a device that has chosen an entrance.
How door staff use entrances
Door staff choose their entrance in the BrightStar Organizer app. Every scan and every guest-list check-in from that device then records the entrance, along with the device's name. Offline check-ins are recorded with the entrance too, once they sync.
A device that has not chosen an entrance checks any pass in, as before, and those check-ins are counted as No entrance. The same is true for check-ins made from the dashboard.
Reading the live counts
Each entrance shows how many guests are checked in now through it. The counts refresh about every 20 seconds. If you undo a check-in, that guest leaves the count for that entrance.
A ticket is checked in once for the whole event. If someone scans the same ticket at a second entrance, it is refused as already checked in, and the door staff can see who it belongs to, when they came in, and the entrance they used.
