Connecting Sched to Your Event

Connect your Sched festival agenda to a BrightStar event page, and optionally add pass holders to Sched with the right ticket type.

The Sched integration connects a gathering to your festival's Sched event. It shows your Sched agenda on the BrightStar event page, and it can add your pass holders to Sched with the ticket type that matches their pass. It is for organizers of multi-track festivals who plan their schedule in Sched.

If you already keep your agenda in Sched, you do not have to type it out a second time for your event page.

Dashboard → Integrations → the CRM & email tab → Sched. Connecting Sched is part of Elevate and Amplify and is not available on Seva.

Connecting your Sched agenda

Sched does not offer one-click sign in, so there is one short step where you copy a key. Sched is connected one gathering at a time.

  1. 1Open the Sched tile and choose the gathering the agenda belongs to.
  2. 2Type your Sched address, for example yourfest.sched.com.
  3. 3Click the link to your key page on Sched and copy your API key.
  4. 4Paste the key into BrightStar and click Connect & import schedule.
  5. 5BrightStar imports your sessions and shows how many it found.

What shows on your event page

BrightStar shows the imported sessions in the Schedule section of the event page. Sessions are listed in time order, up to 300 of them.

The Sched agenda appears only when the event has no schedule written by hand. If you have your own itinerary on the event, that is what guests see.

The import is a snapshot. After you change something in Sched, click Re-sync schedule on the Sched card to bring in the update.

Adding pass holders to Sched

Once Sched is connected, the card has an Add pass holders to Sched switch. It sends each pass holder to your Sched event with a Sched ticket type, so your Sched ticket rules decide which sessions they can add. Sched emails anyone new their login.

  1. 1Use the Replace key option to paste your read-write Sched key if you connected with a read-only one.
  2. 2Ask Sched support to switch on the Ticket API for your Sched event if the card says it is off.
  3. 3Under Which Sched ticket each pass gets, choose a Sched ticket type for each pass.
  4. 4Set Any other pass for passes you have not listed.
  5. 5Click Save mapping, then turn the switch on.
  6. 6Click Add existing pass holders to include people who bought before you switched it on.

Who is sent and who is not

By default, BrightStar sends passes bought after you turn the switch on. Add existing pass holders widens that to everyone who holds a pass now.

Add-ons and merch are set to Don't send and never take the Any other pass choice. They go to Sched only if you pick a ticket for them. Room bookings are never sent.

If a pass is shared with a friend, the friend is the one added to Sched. If a pass is voided, or its order is fully refunded or cancelled, BrightStar removes that ticket from the person in Sched. It only removes tickets BrightStar added, so tickets you assigned by hand in Sched stay.

BrightStar sends pass holders in batches and keeps within Sched's limit of about 30 requests a minute, so a large first batch of existing pass holders arrives over several minutes. The card shows how many people are in Sched, on their way, retrying or needing attention, and lists recent calls.

Common questions

Does BrightStar connect to Sched?

Yes. In the BrightStar dashboard, go to Integrations, open the CRM & email tab and choose Sched. You connect it to one gathering at a time with your Sched address and API key. It needs an Elevate or Amplify plan.

Once connected, BrightStar imports your sessions for display on the event page. You can also switch on adding pass holders to Sched.

Where does the Sched agenda show on my BrightStar event page?

BrightStar shows the imported Sched sessions in the Schedule section of the event page. They appear only when the event has no itinerary written by hand. Each session includes its time, its title, and the speakers and venue when Sched has them.

Does BrightStar update Sched automatically when I edit a session?

No. The BrightStar agenda import is a snapshot that you refresh with Re-sync schedule on the Sched card. BrightStar reads sessions from Sched; it does not send session changes back.

Pass holders are different: once the Add pass holders to Sched switch is on, BrightStar keeps their tickets in Sched up to date as people buy, share or have passes voided.

Which Sched ticket does a BrightStar pass get?

You choose in BrightStar, on the Sched card. Each pass can be matched to a Sched ticket type, and Any other pass covers the rest. Add-ons and merch are set to Don't send unless you choose a ticket for them.

Why does BrightStar say my Sched key cannot add pass holders?

Adding pass holders in BrightStar needs the read-write Sched key, and Sched must have its Ticket API switched on for your event. If the card says the key is read-only, use Replace key and paste the read-write key. If the Ticket API is off, ask Sched support to turn it on.
