Private Sessions: 1:1 Bookings From Your Profile

Offer one-to-one sessions on your BrightStar profile. Set your hours once; clients pick a time in their own time zone.

Healers, bodyworkers, coaches and teachers often give their deepest work one person at a time. With private sessions on BrightStar, you offer that time from the profile you already have. Clients open your artist or organizer page, choose a session, pick a day and a time that suits them, and are booked in a few taps. There is no separate booking site to keep up to date.

You set your hours once, in your own time zone. Each client sees your open times in theirs, so a client in London and a client in Los Angeles both see the right hour without doing the maths.

How to set it up

Private sessions live in your dashboard under Private sessions.

  1. 1Open Availability and set your weekly hours. You can split a day, for example 9 to 12 and 2 to 7, and set your time zone.
  2. 2Add date-specific hours for a day that is different, or mark a day off.
  3. 3Open Session types and choose New session type. Give it a name, a length, a price (0 for a free session) and where it happens: in person at an address, online with your own Zoom or Google Meet link, by phone, or somewhere else.
  4. 4Choose the rules: buffer time before and after, how much notice you need, how many days ahead people can book, an optional daily limit, how often start times appear, and how close to the session clients can still reschedule or cancel.
  5. 5Add any questions you want answered before you meet, a cancellation policy and a note for the confirmation email.
  6. 6Choose Save and turn on. The session appears in a Book a session section on your profile, and Copy link gives you a link that opens it directly.

What your client sees

Your client sees your sessions with their length, price and place. They pick one, see a month calendar with the days that have open times, and choose a time shown in their own time zone, which they can change. They enter their name, email and answers to your questions, see your policy and book.

They get a confirmation email with a calendar invite attached and an Add to Google Calendar button, plus a link to reschedule or cancel. The session also appears in their tickets on BrightStar, with a Join session button for online sessions.

You are never booked twice

BrightStar treats all your sessions as one calendar. A time taken by one session type is gone from the others, your buffers are kept, and your own BrightStar events and weekly classes are blocked out automatically. So is any event elsewhere on BrightStar that lists your profile, such as a festival set. If two people try to book the same time at the same moment, one gets it and the other is asked to pick another time.

Reminders, check-in and your records

Every booking is a real BrightStar booking, so the tools you already use work with it. Clients get the usual reminder emails a week, a day and two hours before. Each session has a check-in code. Your client appears in your community list, and the session sits on your Scheduled list with their details and the time in their own zone.

Rescheduling, cancelling and no-shows

A client can move their session to another open time, or cancel it, from the link in their email, up to the number of hours before that you chose. They can still cancel after that, and BrightStar marks it as a late cancellation so you can see it. You can move any session to another free time or cancel it with a note from Scheduled; your client is emailed either way, with an updated calendar invite. After a session you can mark it completed or a no-show.

Turn on Secret for a session you only offer to certain people, such as ongoing clients. It is not listed on your profile, and only people with its link can book it.
You can set a price and get paid sessions ready now. Booking paid sessions opens soon; free sessions, such as an intro call, can be booked straight away.
In your dashboard, Private sessions has three parts: Scheduled for your bookings, Session types for what you offer, and Availability for your hours. Private sessions are part of the Elevate plan.

Common questions

Can clients book a private session from my BrightStar profile?

Yes. When you offer private sessions on BrightStar, a Book a session section appears on your artist or organizer profile. Clients pick a session, a day and a time in their own time zone, and are booked without leaving your page.

Copy link on each session type gives you a link that opens that session directly, to share in messages, emails or social posts.

How does BrightStar handle time zones for private sessions?

On BrightStar you set your hours in your own time zone, and each client sees your open times converted to theirs. Clients can switch the time zone on the booking page, and the confirmation email shows the time in both zones.

Can I add buffer time between sessions on BrightStar?

Yes. Each BrightStar session type can have buffer time before and after. No session can be booked inside a buffer, and your own BrightStar events and classes are kept free too.

You can also set how much notice you need, how many days ahead clients can book, a daily limit and how often start times appear.

Can clients reschedule or cancel a BrightStar private session themselves?

Yes. Every BrightStar confirmation email has a link to reschedule or cancel. Clients can move a session up to the number of hours before it that you choose, and a cancellation inside that window is marked as late.

Do BrightStar private sessions send reminders and calendar invites?

Yes. BrightStar emails both you and your client a confirmation with a calendar invite attached. Your client then gets the usual BrightStar reminder emails a week, a day and two hours before the session.

Can I offer a free intro call as a private session on BrightStar?

Yes. Set the price of a BrightStar session type to 0 and it becomes a free session, such as a 20-minute intro call. Free sessions are booked straight away with no payment step.
