Issue Comp and Presenter Passes

Give a real ticket to a guest, presenter or volunteer from the Sangha tab, one at a time or by uploading a CSV list.

Issuing a pass in BrightStar gives someone a real ticket with its own QR code, without a sale. It is for organizers who need to welcome guests, presenters, volunteers or people who paid on another platform.

Every gathering has people who come because you invited them. This is how you bring them in, one by one or all at once.

Where to find it

Dashboard → Gatherings → your event → Sangha → Issue passes.

The Issue passes button sits in the Sangha toolbar, after the ticket type filter and before Export.

Adding one pass

Use the Add one tab when you only need to welcome one person:

  1. 1Open Issue passes and stay on the Add one tab.
  2. 2Choose the pass. Each one shows how many are left, and whether it is hidden or an add-on.
  3. 3Enter their first name, last name and email. Phone is optional.
  4. 4Choose why they are coming: Guest (comp), Presenter, or Paid elsewhere.
  5. 5Add a note if you like. Only your team sees it.
  6. 6Under Their tickets, choose when the email goes out, then press Issue pass.

Uploading a list of passes

Use the Upload a list tab for presenters, volunteers or people moving over from another platform:

  1. 1Choose a CSV file, or download the template to see the columns.
  2. 2Match your columns to BrightStar's fields: full name, first name, last name, email, phone, pass, reason, note and order number elsewhere. BrightStar guesses the matches for you.
  3. 3Pick a reason for any rows that do not state one.
  4. 4Press Check the list. Each row shows Ready or what needs attention.
  5. 5Press Issue to create the passes. Keep the window open until it finishes.
  6. 6Download the rows that need attention, fix them and upload again.

What the person receives

Each pass is a real ticket with a QR code, the same kind a buyer gets. You choose when it arrives:

Send their tickets now sends the email as soon as the pass is issued.

Hold, I will send them later keeps the tickets waiting until you press Send held tickets now in the Issue passes window.

Send on a date sends the tickets on the day and time you choose. This suits people joining from another platform.

How passes count

An issued pass is free to the person and carries no fees. Revenue reports show it at $0.

It still counts toward that pass's quantity, your headcount and check-in. The pass has to have room left, and the event must not be cancelled, already ended, or over its maximum attendees. Rooms are not issued as passes. Buyer questions are skipped for issued passes.

To keep comps off your public count, create a hidden pass with its own quantity and issue guests from that one.

Re-uploading and duplicates

If someone already holds a pass of that type on your event, BrightStar skips them by default, so uploading a corrected file does not double anyone. A tick box lets you issue again on purpose.

Common questions

How do I give a free ticket to a guest on BrightStar?

Open your event in the BrightStar dashboard, go to the Sangha tab and press Issue passes. Choose a pass, enter the person's name and email, and press Issue pass. They receive a real ticket with a QR code.

Can I upload a list of presenters to BrightStar as a CSV?

Yes. In the Issue passes window on the Sangha tab, choose Upload a list, pick your CSV and match its columns. BrightStar checks every row before anything is issued and gives you a file of rows that need attention.

The window includes a template download. Any export works, because you match the columns yourself, and rows with no stated reason use the default reason you pick.

Do issued passes on BrightStar cost anything or show as revenue?

No. Each pass on BrightStar is a free order with no fees, and revenue reports show it at $0. It still counts toward the pass's quantity, your headcount and check-in.

Can I hold back the ticket emails when I issue passes in BrightStar?

Yes. Under Their tickets, choose Hold, I will send them later, or Send on a date. With Hold, BrightStar keeps the tickets until you press Send held tickets now in the Issue passes window. With Send on a date, BrightStar sends them automatically at the time you choose.
