Offline check-in lets the BrightStar Organizer app keep admitting guests when there is no signal, and send every check-in to BrightStar once it reconnects. It is for door staff at events where the connection comes and goes.
Retreat centres in the hills, basement halls and festival fields share a problem: many phones reach for one tower and the connection fails. The app holds a signed copy of the event's ticket list so the door can keep moving.
Where to find it
You use it in the BrightStar Organizer app. Open your event and look at the top of the check-in screen. The status chip shows Online or Offline, and the line under the event name says whether the device is offline-ready. Tap either one to open the Offline check-in details.
Getting your device ready
The app prepares itself, but it helps to check before doors open:
- 1Open the event in the Organizer app while you still have signal.
- 2Wait for the line under the event name to read Offline-ready.
- 3If the event has entrances, pick this device's entrance. The list refreshes at that moment.
- 4Tap the status chip and choose Download for offline if you want to refresh the list by hand.
What the device does with no signal
The app downloads a signed list of the event's tickets as soon as you open the event. While you are online it refreshes the list about every five minutes. The list is stored encrypted on the device, and if it is edited on the device the app throws it away.
With no signal, each scan and each check-in from the Guests tab is checked against that list. A valid ticket is checked in and the card shows an Offline label with the words will sync. The guest list, its search and the counts also work from the downloaded list.
The app refuses a voided ticket, a pass that is not valid at this entrance, and room bookings or merch items, which are not admission passes. A ticket it cannot vouch for shows Check Name & ID, so you can check the guest by hand. A ticket that was already checked in shows when and where, or says it was checked in on this device.
What happens when you reconnect
Syncing needs nothing from you:
- 1The app notices the connection is back and sends the waiting check-ins to BrightStar.
- 2BrightStar records each one with the time it was scanned on the device, not the time it synced.
- 3While you are online, the app tries again every 30 seconds if anything is still waiting.
- 4The list of tickets refreshes, and the guest list shows BrightStar's own data again.
Duplicates and undoing
The Offline check-in details show duplicate entries per entrance, so you can have a word with the guest.
A check-in still waiting to sync can be undone with no signal. One that has already reached BrightStar can only be undone once you have signal again.
