iPad Check-In for Busy Doors

BrightStar's scanner app gives an iPad a two-pane check-in screen: guest list beside the scanner, plus entrances and a PIN lock for shared devices.

On a tablet, the BrightStar Scanner app shows your guest list and your scanner side by side, so one iPad can run a whole check-in table. It is for organizers and door staff who look guests up by name as often as they scan codes.

Think of a welcome table at a retreat or a kirtan evening: a line forming, a few people without their phones, a volunteer who needs to find a name quickly. The wider layout is made for that.

Where to find it

BrightStar Scanner app → sign in → choose your event. The two-pane layout appears by itself on an iPad, in either orientation. On a phone, the same app keeps its Scan, Guests and POS tabs along the bottom.

The lock for shared devices is at Settings (the gear in the top bar) → Shared device → Lock to check-in.

What the iPad screen shows

The screen is split into two panes.

Checking guests in

You can check people in by scanning or from the list.

  1. 1Hold a ticket QR code to the camera, or find the guest in the list.
  2. 2Tap the round button on a guest's row to check them in with one tap.
  3. 3Or tap the row to open the guest, then tap Check in.
  4. 4If someone has several tickets in the order, tap Check in all to admit the rest.
  5. 5To reverse a mistake, tap Undo check-in and confirm.
With a keyboard attached, press Command+F (or Ctrl+F) to jump to the search and Esc to clear it. Type a name and press Enter to open the first guest still to arrive, then press Enter again to check them in.

Setting your entrance

If your event has entrances, BrightStar asks once which entrance this device is at, and remembers the answer. Every check-in on the device is counted at that entrance, and your entrance appears as a chip in the header with its live count. Tap the chip to change it. Choose Any entrance for a device that roams.

A pass restricted to other entrances is refused with a Wrong Entrance message. Guests already checked in show where they came through, and the guest list shows live counts per entrance.

Locking a shared iPad to check-in

For a box-office iPad passed between volunteers, you can lock it to one event.

  1. 1Open your event in the app, then go to Settings → Shared device → Lock to check-in.
  2. 2Choose a PIN of 4 to 8 digits and enter it twice. Keep it with the manager.
  3. 3The device now opens straight into that event's scanning, guest list and door sales, with no way back to the event list.
  4. 4Settings, switching organizations and signing out are hidden. Changing the entrance asks for the PIN.
  5. 5To unlock, tap the lock icon in the top bar and enter the PIN.
Lock to check-in is a lock inside the BrightStar app. Someone can still leave the app itself. To stop that, turn on Guided Access on the iPad (Settings → Accessibility → Guided Access), or use App pinning on Android. BrightStar reminds you of this when you turn the lock on.

Staying in sync and working without signal

The guest list refreshes about every 20 seconds, so a guest checked in on another device appears on yours shortly after. With no signal, the app can still check people in against a ticket list it downloaded when you opened the event, and the check-ins wait to sync. This offline check-in is available on Elevate and above. Undoing a check-in that has already reached BrightStar needs a connection.

Common questions

Can I use an iPad for check-in with the BrightStar Scanner app?

Yes. On an iPad, the BrightStar Scanner app shows the guest list on the left and the scanner on the right. Tapping a guest opens their details with a Check in button.

The two-pane layout starts on screens with a short side of 600 points or more, so an iPad uses it in portrait and landscape. A phone keeps the Scan, Guests and POS tabs.

How do I lock a BrightStar check-in iPad to one event?

In the BrightStar Scanner app, open the event, go to Settings → Shared device → Lock to check-in, and set a PIN of 4 to 8 digits. The device then opens only that event's scanning, guest list and door sales until the PIN is entered.

While locked, leaving the event, switching organizations, Settings and signing out are all unavailable. Changing the entrance also asks for the PIN. The PIN is stored on the device as a salted hash, not as plain text.

Does BrightStar's iPad lock stop people leaving the app?

No. Lock to check-in locks the screens inside the BrightStar Scanner app, but someone can still leave the app. For that, turn on Guided Access on the iPad or App pinning on Android.

How do entrances work on a BrightStar check-in iPad?

If your event has entrances, the BrightStar Scanner app asks which entrance the device is at and remembers it. Every check-in there counts at that entrance, and passes restricted to other entrances are refused.

You can change the entrance from the header chip. Choose Any entrance for a roaming device; its check-ins count under No entrance.

Can BrightStar iPad check-in work with no wifi?

Yes, on Elevate and above. The BrightStar Scanner app downloads a ticket list when you open the event, checks guests against it without signal, and syncs those check-ins when the connection returns.

The app shows an Offline status in the header and marks offline check-ins as waiting to sync. Undoing a check-in that is already on the server needs signal.
