Creating Many Discount Codes at Once

Make a batch of discount codes for your event from a list of names or a pattern, email each partner their own code, and track uses and revenue per code.

Create many codes is a tool inside your event's discount codes. It makes a batch of codes that all share one offer, one for each partner, vendor or group you work with. Each code is tracked on its own.

A festival often has twenty vendors, each of whom should have a code they can share with their own community. This tool lets you make all twenty in one sitting, see each one before anything is saved, and send each partner only their own.

Where to find it

Create many codes sits below the single-code button in your event's Discount Codes panel.

Save your event once first. Until the event is saved, the panel asks you to do that before you can create many codes. You need to be the event's host or have edit access to the event.

Three ways to make the codes

From a list of names. Each name becomes its own code. With the ending 15, Yoga Nastics becomes YOGANASTICS15. Put an email after a comma on the same line and you can send that partner their code from BrightStar.

Names plus random. Each name becomes a code with a short random tail, such as YOGANASTICS15-K7QM. You choose how many random characters, from 2 to 8.

Pattern. Codes come from a pattern, such as SYF-K7QM2X-15 or VENDOR001. Use this when you do not have names yet. The middle can be letters and numbers, letters only, numbers only, or a numbered run like 001, 002, 003.

You can add a start and end to every code, and choose what goes between the words of a name: nothing, a dash or an underscore. Names can be typed, pasted or added from a CSV file. A batch holds up to 500 codes.

Creating a batch

From the Discount Codes panel of your event:

  1. 1Select Create many codes and give the batch a name.
  2. 2Choose how the codes are made and enter your names or pattern.
  3. 3Set the offer every code shares: a percentage or a fixed amount, uses per code, start and end dates, and which tickets it applies to.
  4. 4Select Preview codes and look over the list.
  5. 5Fix any code flagged for attention, or select Fix them for me.
  6. 6Select Create codes. The codes are saved and added to your discount code list.

Checking codes before you save

BrightStar shows every code before anything is saved. You can edit a code by hand, then select Check again.

A code is flagged if it is already used on this event, appears twice in the batch, is too short or too long, or contains characters other than letters, numbers, dashes and underscores. Codes are matched without regard to capital letters. Fix them for me adds -2, -3 and so on to clashing codes.

Random codes never use characters that are easy to misread: 0 and O, 1, I and L.

Every code in a batch carries the same offer. Limits apply to each code on its own, so one partner can never use up another partner's uses. If you leave the ticket choice empty, the codes work on every ticket for the event.

Emailing each partner their code

Open a batch and select Send codes. This appears when at least one code has an email address.

  1. 1Write a subject and a short note from you, or keep the default subject.
  2. 2Select Preview the email to see what a partner receives.
  3. 3Optionally send a test to your own address.
  4. 4Select the Send to partners button, which shows the number of partners. Confirm when asked.

What each partner receives

The sender shows as your name via BrightStar, and replies go to your notification address.

BrightStar sends each code only once. Sending to all partners skips codes already sent and retries those that failed. To send a code again, use Resend on that code. You can also change a partner's email address on their row and send it to the new address.

Tracking and managing a batch

Open a batch to see, for each code, how many times it has been used, the revenue from completed orders, and its email status: not sent, sent, opened or not delivered. The batch header shows totals.

You can deactivate one code or a whole batch. Sales the codes already brought stay in your reports, and you can reactivate them later. Download list gives you a CSV, and Copy all copies every code to your clipboard.

Reactivating restores each code's original end date.

What happens if two BrightStar codes in a batch are the same?

BrightStar flags a code that clashes with another code on your event or repeats inside the batch. Choose Fix them for me to add -2, -3 and so on, or edit the code by hand. You cannot create the batch until clashes are resolved.
