Healers, bodyworkers, coaches and teachers often give their deepest work one person at a time. With private sessions on BrightStar, you offer that time from the profile you already have. Clients open your artist or organizer page, choose a session, pick a day and a time that suits them, and are booked in a few taps. There is no separate booking site to keep up to date.
You set your hours once, in your own time zone. Each client sees your open times in theirs, so a client in London and a client in Los Angeles both see the right hour without doing the maths.
How to set it up
Private sessions live in your dashboard under Private sessions.
- 1Open Availability and set your weekly hours. You can split a day, for example 9 to 12 and 2 to 7, and set your time zone.
- 2Add date-specific hours for a day that is different, or mark a day off.
- 3Open Session types and choose New session type. Give it a name, a length, a price (0 for a free session) and where it happens: in person at an address, online with your own Zoom or Google Meet link, by phone, or somewhere else.
- 4Choose the rules: buffer time before and after, how much notice you need, how many days ahead people can book, an optional daily limit, how often start times appear, and how close to the session clients can still reschedule or cancel.
- 5Add any questions you want answered before you meet, a cancellation policy and a note for the confirmation email.
- 6Choose Save and turn on. The session appears in a Book a session section on your profile, and Copy link gives you a link that opens it directly.
What your client sees
Your client sees your sessions with their length, price and place. They pick one, see a month calendar with the days that have open times, and choose a time shown in their own time zone, which they can change. They enter their name, email and answers to your questions, see your policy and book.
They get a confirmation email with a calendar invite attached and an Add to Google Calendar button, plus a link to reschedule or cancel. The session also appears in their tickets on BrightStar, with a Join session button for online sessions.
You are never booked twice
BrightStar treats all your sessions as one calendar. A time taken by one session type is gone from the others, your buffers are kept, and your own BrightStar events and weekly classes are blocked out automatically. So is any event elsewhere on BrightStar that lists your profile, such as a festival set. If two people try to book the same time at the same moment, one gets it and the other is asked to pick another time.
Reminders, check-in and your records
Every booking is a real BrightStar booking, so the tools you already use work with it. Clients get the usual reminder emails a week, a day and two hours before. Each session has a check-in code. Your client appears in your community list, and the session sits on your Scheduled list with their details and the time in their own zone.
Rescheduling, cancelling and no-shows
A client can move their session to another open time, or cancel it, from the link in their email, up to the number of hours before that you chose. They can still cancel after that, and BrightStar marks it as a late cancellation so you can see it. You can move any session to another free time or cancel it with a note from Scheduled; your client is emailed either way, with an updated calendar invite. After a session you can mark it completed or a no-show.
