Sending Ticket Buyers to Your CRM with Zapier

Connect BrightStar to Zapier so new ticket buyers, attendees, room bookings and refunds reach your CRM, email tool or spreadsheet.

The Zapier integration sends your BrightStar buyers, attendees, room bookings and refunds into the tools where you keep your people, such as a CRM, an email tool or a spreadsheet. It is for organizers on Elevate or Amplify.

Most of what you know about who is coming to your kirtan, retreat or sound healing evening sits in your BrightStar orders. This link carries it to the list you actually open each day, with no export to remember.

Where to find it

Dashboard → Integrations → Zapier. The tab leads with a Connect Zapier panel, then shows your API keys and the gatherings that can sync. Integrations are part of Elevate and Amplify, so on a Seva-only account the page asks you to choose Elevate on a gathering first.

Connecting Zapier to BrightStar

You connect once. BrightStar's Zapier app is private, so it does not appear in Zapier's public search. You add it with an invitation link instead.

  1. 1Open Dashboard → Integrations → Zapier and click Connect Zapier. Zapier opens in a new tab.
  2. 2Accept the invitation in Zapier. BrightStar now appears among your Zapier apps.
  3. 3Back in BrightStar, click Create your key. You can give the key a name, such as the tool it feeds.
  4. 4Copy the key right away. It is shown only once and begins with bsk_.
  5. 5In Zapier, add BrightStar as a trigger app and paste the key when it asks you to sign in.

Choosing which gatherings sync

Syncing is switched on per gathering. On the Zapier tab, the Gatherings syncing panel lists your Elevate and Amplify gatherings, each with a switch. They are off by default, so you decide which communities flow onward.

Only gatherings with the switch on are included. A gathering that is off sends nothing to Zapier.

The four triggers

Each trigger starts a Zap when BrightStar has a new record that Zapier has not seen before.

What each record carries

Records include the person's name, email, phone and address when you have them, plus the event's name, date and page link. Ticket buyer records also list each line as a pass, add-on, product or room. Room lines show the room type, check-in and check-out dates, nights and guests. Product lines show the product and its variant. You also get short summaries of the passes and rooms on the order.

Answers to your custom questions arrive under your own question wording. Money is sent in whole currency units, so 110 means $110.00.

If your key stops working

If BrightStar does not recognise a key, Zapier shows a message asking you to create a fresh key and reconnect. Revoking a key on the Zapier tab stops any Zapier connection using it right away. If Zapier is asked to slow down, it waits and tries again. If BrightStar cannot load your records, Zapier tries again on its next check.

BrightStar shows a new key once. If you lose it, revoke it on the Zapier tab and create another. Name each key after the tool it feeds, so you know which one to revoke.

Common questions

Does BrightStar work with Zapier?

Yes. BrightStar has a Zapier app that sends new ticket buyers, attendees, room bookings and refunds to the tools you connect in Zapier. You set it up under Dashboard → Integrations → Zapier, on an Elevate or Amplify account.

Because the BrightStar app is private, you add it to your Zapier account from the invitation link behind the Connect Zapier button, then paste a BrightStar key when Zapier asks you to sign in.

How do I connect BrightStar to Zapier?

In BrightStar, open Dashboard → Integrations → Zapier and click Connect Zapier to accept the invitation in Zapier. Then click Create your key and paste that key into Zapier's BrightStar sign-in.

Which BrightStar events send buyers to Zapier?

Only gatherings with the sync switch turned on in Dashboard → Integrations → Zapier in BrightStar. The switches are off by default and cover your Elevate and Amplify gatherings. A gathering with its switch off sends nothing to Zapier.

What happens to unsubscribed contacts in BrightStar's Zapier feed?

Each person who does come through from BrightStar carries whether they agreed to marketing email, and when, so your other tools can respect it.

What if I lose my BrightStar Zapier key?

BrightStar shows a new key only once, so you cannot view it again. Go to Dashboard → Integrations → Zapier, revoke the old key, and create a new one. Revoking stops any Zapier connection using that key straight away, so paste the new key into Zapier to reconnect.
