Self Check-In Kiosk for Studios and Small Events

Turn an iPad by the door into a BrightStar self check-in kiosk: students find their name or scan their ticket and check themselves in.

Self check-in turns an iPad by your studio door into a kiosk where students check themselves in. It suits a weekly class or a small gathering with no one free to stand at the door.

A student types their first name or holds up their ticket, confirms it is them, and walks in. Their check-in lands in your guest list like any other.

Where to find it

BrightStar Organizer app → choose your event → Settings (the gear in the top bar) → Shared device → Lock to check-in → Self check-in.

An iPad already locked to staff check-in can switch too: tap the lock icon in the top bar, enter the PIN, then tap Self check-in.

Setting up the kiosk

Do this on the iPad that will stand by the door.

  1. 1If your event has entrances, choose this iPad's entrance first, in the normal check-in screen.
  2. 2Open Settings → Shared device → Lock to check-in.
  3. 3Choose Self check-in.
  4. 4Leave "Book your next class" QR on to show your class page after each check-in. It appears only for a weekly class.
  5. 5Turn on Buy QR for walk-ins if people not on the list may book on their own phone.
  6. 6Tap Next, then choose a PIN of 4 to 8 digits and enter it twice. Keep it with the manager.

What students see

The kiosk is full screen, in large type, and works with VoiceOver.

How a student checks in

Checking in by name takes a few taps.

  1. 1Type your first name, or add your last initial ("Maya R").
  2. 2Tap your name.
  3. 3Enter the last 4 digits of the phone number on your booking. If the booking has no phone number, or you prefer, type the first letter of your email address instead.
  4. 4If your booking has more than one ticket, tick everyone checking in now. Everyone is ticked to start.
  5. 5You see "You're checked in — enjoy", and for a weekly class a QR code to book your next class.

Scanning a ticket instead

A student can tap Scan my ticket and hold their ticket QR code up to the front camera. The code proves the ticket, so there is no question to answer. If the booking has other tickets still to arrive, the kiosk asks who is here.

When someone is not on the list

If no name matches, or the answer is wrong three times, the kiosk says "Please see the front desk". The kiosk never takes a payment.

With Buy QR for walk-ins on, it also shows a QR code to your event page, so a newcomer can book and pay on their own phone.

After 20 seconds without a touch, the kiosk clears the screen and returns to the welcome. Leaving the kiosk needs the manager's PIN: tap the small lock in the top corner. The PIN also lets you switch to staff check-in or unlock the iPad. To stop anyone leaving the app itself, turn on Guided Access (Settings → Accessibility → Guided Access).

Where check-ins go

Every self check-in is recorded like a staff check-in, at this iPad's entrance, with the device marked Self check-in. It appears in your guest list and check-in counts straight away. With no signal, an event on Elevate or above keeps checking students in from its downloaded ticket list and syncs when the connection returns. Without that list, the kiosk sends students to the front desk.

Common questions

Can students check themselves in at a BrightStar event?

Yes. In the BrightStar Organizer app, Lock to check-in has a Self check-in option that turns an iPad into a kiosk. Students search their first name or scan their ticket QR code, confirm it is them, and are checked in.

The kiosk shows names as first name and last initial only, and returns to its welcome screen after 20 seconds without a touch. Leaving it needs the manager's PIN.

How does the BrightStar self check-in kiosk confirm who someone is?

After a student taps their name, the BrightStar kiosk asks for the last 4 digits of the phone number on the booking, or the first letter of their email address. After three wrong answers it asks them to see the front desk.

A student who scans their ticket QR code is not asked, because the code itself proves the ticket.

Does the BrightStar self check-in kiosk show guests' emails or phone numbers?

No. The BrightStar kiosk shows each person as first name and last initial, such as "Maya R.", and needs two letters typed before it lists anyone. It never displays an email address or a phone number.

Can a family check in together at a BrightStar self check-in kiosk?

Yes. When a booking has more than one ticket, the BrightStar kiosk lists everyone on it after the first person confirms, and they tick who is checking in now.

Can someone buy a ticket at a BrightStar self check-in kiosk?

Not on the kiosk itself, which never handles a card. If the organizer turns on Buy QR for walk-ins, someone not on the list sees a QR code to the event page and books on their own phone.
